IT is the part of an office move that decides whether Monday morning works. Furniture can arrive late and nobody much notices. If the network is not live, nobody can work at all — and the most common cause is not damaged hardware, it is connectivity that was ordered too late.
This guide covers the sequence, the lead times that actually matter, and how equipment should be handled in transit. Our commercial removals team works alongside your IT provider rather than around them.
Order connectivity first, everything else second
Broadband, leased lines and telephony routinely take four to six weeks to provision, and a leased line can take considerably longer. This is the single item that most often turns a well-planned move into a week of staff working from home.
Place the order the moment your lease is signed, not when you book the removal.
The relocation sequence
| Stage | What happens |
|---|---|
| Audit | Every device logged with make, model, serial and desk position |
| Backup | Full verified backup before anything is unplugged |
| Decommission | Cables labelled at both ends, equipment powered down in order |
| Transport | Anti-static wrapping, upright crating, separate vehicle loading |
| Reinstall | Racks and cabinets first, then workstations to numbered positions |
| Test | Network, telephony, printers and peripherals verified before sign-off |
How equipment should travel
- Servers and rack equipment upright, strapped, never stacked under other loads
- Monitors in original packaging where possible, otherwise foam-corner crated and never laid flat under weight
- Workstations and laptops in lidded crates, one per desk, matched to the floor plan
- Comms cabinets emptied before moving unless the cabinet is rated to be moved loaded
- Cables coiled, bagged and labelled to the position they came from — this saves hours at the other end
The insurance question
Standard goods-in-transit cover usually applies a single-item limit as well as a total limit, and a fully populated server rack can exceed the single-item cap even when the overall figure looks generous. Declare high-value equipment in advance and get the position confirmed in writing.
It is also worth knowing that most policies cover physical damage in transit, not consequential data loss — which is why the verified backup in the sequence above is not optional. Our removals insurance guide explains how cover levels work.
Phasing to protect trading
Where downtime cannot be tolerated, we split the move: archive and storage go first out of hours, furniture goes in the main window, and IT goes last with your provider on site to test as it lands. For city centre premises this usually means a Friday evening start and a Saturday completion — see moving a business into the city centre.
The five mistakes that cause downtime
Almost every IT relocation that overruns does so for one of these reasons, and all five are avoidable weeks in advance.
- Ordering connectivity late. Four to six weeks is normal for broadband, longer for a leased line. This is the single biggest cause of a Monday morning with no network.
- Not labelling cables at both ends. An unlabelled comms cabinet costs hours to rebuild.
- Moving IT first. It should go last, after furniture is placed, so it can be tested as it lands.
- No verified backup. Transit insurance covers physical damage, not data. Back up and verify before anything is unplugged.
- Nobody on site to test. Your IT provider should be present at the new premises, not on call.
Where downtime genuinely cannot be tolerated, phase the move across a weekend — see our 8-week office move checklist.
Frequently asked questions
Do you disconnect and reconnect equipment?
We handle physical transport, crating and placement. Decommissioning and reconnection sit with your IT provider, and we schedule around them.
Can servers be moved during working hours?
They can, but most businesses move them out of hours so testing is finished before staff arrive.
What about confidential data?
Equipment stays sealed and inventoried throughout. Paper records for disposal go through licensed clearance.
How much does it add to the cost?
IT handling is usually quoted separately from general furniture — see the office move cost guide.
